Who we partner with

FCDO-registered solicitors and notaries

You’ve certified the document yourself; we take it from there. Send it with the client’s name, and we handle the apostille and any embassy stage, then return the original by tracked courier with a scan on the day.

FCDO-registered doctors and medical practices

Medical certificates, fitness-to-travel letters and vaccination records signed by you can go straight to apostille under your registered signature — which matters, because some countries reject a medical document apostilled against a solicitor’s certification rather than the doctor’s own. We handle submission and return.

Translation companies

Your certified translation and the underlying document can be certified and apostilled as one order, so you can quote a client for “translated and legalised” without adding a supplier they must chase. Notarisation is available where a document or its translation needs it.

Wedding planners, travel and expat services

Birth and marriage certificates, certificates of no impediment and consent letters for clients marrying, moving or buying abroad. Refer them to us, or order for them and keep the whole arrangement in your hands.

Legalisation agencies

If you’re outside London or over capacity, we submit your FCDO-ready documents under the LAS name the next day as standard, and get them back to you the day they return — by bike courier in London, or by tracked post and DHL.

Accountants and company formation agents.

Company documents, tax letters and financial statements usually need solicitor or notary certification before the FCDO will accept them, and that’s a step you can’t do in-house. We arrange it as part of the same order, then the apostille and any embassy stage, and return everything together with a scan on the day.

Relocation, recruitment and education

Degrees, DBS and ACRO certificates, employment letters and school records, often for the same destination in batches and against a visa deadline. We’ll let you know before submission if a document won’t be accepted as is.

Overseas law firms, agencies and businesses

If your client’s document was issued in the UK, it can only be apostilled here, and you need someone on the ground to receive it, submit it and send it on. We return them worldwide via DHL, with a scan sent ahead so you can work from the copy while the original is in transit.

How the programme works

1. Apply

The form takes two minutes: your company, who we should talk to, what kind of business you are and what you typically need legalised. If you’d rather email, send the same details to hello@apostillelondon.com.

2. We confirm your details

A quick check on our side, usually within a working day, so we can set up the right terms for your business. Nothing to sign and nothing to commit to.

3. We agree terms together

We’ll come back with proposed partner rates and a way of working based on what you send us and how often — by email, or a short call if that’s easier. Rates, how documents move between us and how you’ll be invoiced are all agreed before anything is submitted, so there are no surprises on the first order. Once that’s settled, most partners are sending documents within the week.

There’s no partner login to remember and no separate ordering system. Send documents the way that suits you — by post, courier, or by dropping them at our office — and email us the details. Every order gets its own tracking link.

Each order has its own page showing the stage it’s at, timestamped, with the courier tracking number and the scans of the finished documents ready to download. Share the link with your client or keep it to yourself; either way, nobody has to email us to ask where things are.

We flag problems before they cost you

Documents are checked against FCDO requirements before submission. If a signature isn’t registered, a seal is a printed image, or a destination has a known quirk, you’ll hear from us first rather than from a rejection. More on this below.

Every order has a live tracking page

The moment your documents arrive, the order is booked and gets its own web page. It shows which stage the order is at — received, apostilled, at the embassy — with a timestamp for each, the courier and tracking number once dispatched, and scans of the finished documents to download.

It updates as we work, so you’ll usually see progress on the page before you see an email from us. Share the link with your client and they can follow it without contacting either of us.

Keep it to yourself and use it to answer their “any news?” in ten seconds. Every partner order gets one, from a single certificate to a batch of forty.

We check every document before it's submitted

An FCDO rejection costs the fee, a day and a difficult call to your client, and it only comes to light after submission.

So, nothing goes in until we’ve looked at it: whether the signature is on the FCDO’s register, whether a seal is genuine rather than a printed image, whether the wording rules out a paper apostille, and whether the destination country has a rule of its own that will trip the document up even when the apostille is correct.

If something isn’t right, you hear from us first, with the options — not from a rejection notice. It’s the part of the job partners tell us they value most, and the part that’s hardest to see from the outside.

Sending and receiving documents

Partner cut-offs are 10:30 am for documents that are FCDO-ready — already certified by a registered solicitor or notary or needing no certification — and 9:30 am for anything we need to certify first.

Documents submitted by the cut-off are submitted to the FCDO that morning and returned to us the following afternoon, usually between 3:30 and 4 pm. Scans and the dispatch or ready-for-collection email go out the same day.

Example timeline

A document that reaches us before 10:30 on Monday is apostilled on Tuesday. A London partner can have it by bike courier on Tuesday afternoon; anywhere else, it’s dispatched on Tuesday and with you on Wednesday.

Send documents by Royal Mail Special Delivery or courier to our office at 3 Orchard Place, opposite St James’s Park station, with your partner reference on the envelope, or drop them in yourself.

Return option

For return we use Royal Mail Special Delivery in the UK, DHL overseas, or a same-day bike courier within London if the deadline demands it. Collection from the office is always an option, for you or your client.

Embassy and consular attestations

Where the destination isn’t a Hague Convention country, the apostille is only the first stamp; the document then needs attestation by that country’s embassy in London, and that’s part of the same order.

We handle the routes partners most often ask for — including the paperwork each embassy requires alongside the document.

Embassy timeframes

Embassy timeframes are set by the embassy, not by us or any other agent, and most offer no expedited option and no interim tracking; we’ll give you a realistic estimate at the outset and won’t dress it up.

Digital attestation

Some embassies now attest digitally — the UAE among them — so the original comes back with the apostille but no physical embassy stamp, plus a separately verifiable digital attestation. Clients who expected a stamp sometimes need that explained, and we can do it for you or for them.

Is there a minimum volume?

No. One document a year or fifty a month, same terms. You can stop whenever you like.

How does invoicing work?

To start, each order is invoiced and paid before submission, as with any customer. Once your account is verified, you can switch to monthly invoicing; with VAT invoices, you can issue invoices to your clients.

Can our clients deal with you directly?

Only if you want them to. By default, we return documents and scans to you. If you’d rather your client send documents in, collect them in person, or receive the tracking link, tell us and we’ll work that way.

We're another legalisation agency. How does submission work?

You send us FCDO-ready documents; we submit them under the LAS name on the next-day service and get them back to you the day they return. Your client stays yours, and we don’t contact them.

Can you legalise documents issued outside the UK?

In most cases, not the originals; only the country that issued the document can apostille it. We can arrange a certified copy by a UK solicitor or notary and have it apostilled, but whether the receiving authority accepts it is for them to confirm.

What happens if the FCDO rejects a document?

The FCDO fee isn’t refunded (unless it’s a signature query), which is why we check documents before submission. If a rejection does happen — an unregistered signature is the usual cause — we’ll set out the options the same day: register the signature, replace the document, or add a certification and resubmit.

Do we have to use your online ordering system?

No. Partners can order by email or request a quote link.

We're based outside the UK. Can we still partner with you?

Yes, of course. Email or post the documents to us, or have the UK issuer send them directly to our office, and we will return them worldwide via DHL, with a scan sent in advance.
