FAQs and answers

Standard service: GRO typically dispatches certificates on the 4th working day if a GRO index reference is supplied. If no GRO index reference is supplied, dispatch can take up to 15 working days.

Priority service: GRO typically dispatches the next working day if the order is received before 4 pm (extra fee).
Delivery time is then added to dispatch (and you can choose faster delivery options where available).

Not always — but the more accurate the details, the faster and safer the search. For more recent records (especially births/deaths in the last ~50 years and marriages/civil partnerships in the last ~35 years), GRO often requires additional information during the application process.

If you’re missing details, upload what you have, and we’ll tell you:

  • whether it’s enough to place the order, or
  • what extra information is needed to locate the correct record.

Yes. We can handle the full chain: order → receive → apostille → onward legalisation (if needed).

Just tell us the destination country, because legalisation requirements differ by country.

Important: for legalisation, you’ll usually need the official paper certificate (digital views/PDFs aren’t typically suitable for apostille/legalisation).

In most cases, yes — replacement certificates can usually be ordered as a third party, provided you can supply enough details to locate the correct record.

Some specialist record types (or specific scenarios) may have extra rules or may require alternative ordering routes. If you’re unsure, send what you have, and we’ll confirm the correct path.

If the registry can’t find a matching record, they typically retain an administration fee (GRO states they retain £4.00 for certificate orders where the record cannot be found).

Any additional admin fees you paid (e.g., where an index reference wasn’t supplied, or where the order wasn’t online) are also typically non-refundable.

We’ll advise you upfront if your information looks too limited and whether a search is likely to succeed.

Yes — but it’s usually faster and cheaper if you have the GRO index reference. If you don’t provide it, GRO treats the order as requiring them to search/index the record, which can add an administrative charge and affect turnaround times.

A GRO index reference is the identifier GRO uses to locate the exact entry in the civil registration records. Supplying it helps avoid delays and reduces the risk of ordering the wrong record (especially where names/dates are similar).

GRO’s online indexes can be used to find references for certain ranges, including:

  • Births: 1837–1934 and 1984 up to ~2 years ago
  • Deaths: 1837–1957 and 1984 up to ~2 years ago
(Other index sources exist, too, but GRO’s index is the most direct route for GRO ordering.)

For more recent events, GRO requires additional details during the application to make sure they match the correct record. As a guide, GRO may prompt for extra information when ordering:

  • Births & deaths within roughly the last 50 years
  • Marriages & civil partnerships within roughly the last 35 years

GRO offers different service levels. In general:

  • Priority service: dispatched the next working day if the application is received before 4 pm
  • Standard service: typically dispatched on the 4th working day if you provide the GRO index reference, or up to the 15th working day if you don’t

These are GRO dispatch targets (delivery time is additional).

GRO retains an administration fee if they are unable to find a record. Additional admin fees (for example, where a reference isn’t supplied or where you did not apply online) are also typically non-refundable.
