Yes, your documents are safe with us.

We understand you’re entrusting us with important, often sensitive, information, and your peace of mind is our top priority.

We take document security extremely seriously and have implemented comprehensive measures to protect your documents throughout the process while they are in our care.

This page outlines our security procedures and explains how we keep your documents safe.

Safeguarding your documents:

  • Secure handling: Our trained staff handles your documents with the utmost care and confidentiality from the moment we receive them.
  • Safe storage: When not being actively processed, your documents are stored securely within our office, which has controlled access.
  • Experienced team: Our team is experienced in handling sensitive documents and follows strict procedures to maintain their integrity and confidentiality.
  • Established processes: We have established internal processes to track and manage documents throughout the legalisation process, minimising the risk of loss or misplacement.
  • Limited access: Only authorised staff have access to your documents.
  • ICO registration: We are registered with the Information Commissioner’s Office (ICO) under registration number ZB325205 . This demonstrates our commitment to data protection and compliance with relevant regulations. As a registered company, we are legally obliged to report any data breaches or security incidents to the ICO.

What we control:

We have full control over the security and handling of your documents while they are physically present in our office.

This includes:

  • Receipt and logging of documents.
  • Secure storage.
  • Internal processing and tracking.
  • Preparation for dispatch.

What we cannot control:

While we take every precaution, it’s important to acknowledge that we cannot guarantee the actions of third-party providers involved in the legalisation process, such as:

  • Solicitors and Notaries
  • The FCDO Legalisation Office
  • Embassies and Consulates
  • Courier and Postal Services

Third-party issues:

Although extremely rare (less than 98% of cases proceed without a hitch), issues can sometimes arise with third-party providers. These issues might be due to human error, technical problems, or force majeure events (unforeseeable circumstances like natural disasters or extreme weather).

Our commitment:

Despite these limitations, we are committed to doing everything we can to keep your documents safe and resolve any issues that may arise.

We carefully select our third-party partners and work closely with them to ensure the best possible service. In the unlikely event of a problem, we will do the following:

  • Inform you immediately: We will notify you promptly of any issues or delays.
  • Investigate and resolve: We will work diligently to investigate the cause of the problem and find a solution.
  • Keep you updated: We will provide you with regular updates on the progress of your case.
  • ICO reporting: As part of our ICO registration, we must report any significant data security incidents to the ICO, ensuring transparency and accountability.

In summary, while we cannot offer guarantees due to the involvement of external parties, we have robust safeguards in place, are registered with the ICO, and are dedicated to protecting your documents while they are in our care.
